Turn Xero’s Aged Receivables Detail export into customer statements
Xero’s Aged Receivables Detail report lists every open invoice, credit note and overpayment by customer, with ageing columns. Xero itself points to it when users ask for ageing on statements (Xero’s reply on the ageing idea). But it is one report for all customers, and commenters describe filtering and sending it customer by customer as “way too much work”.
Export the report from Xero
- Open the Aged Receivables Detail report in Xero’s reports.
- Pick the date. Under the report settings choose the ageing periods and whether to age by due date or invoice date. Add the columns you need, such as Due Date and Invoice Date.
- Click Update, then Export and choose Excel. Xero exports reports as PDF, Excel or Google Sheets, not CSV.
- Optional: save the settings as a custom report so you don’t have to set them again next month.
Excel (.xlsx) is the safest file to use with Ageline. A CSV saved from Excel or Google Sheets also works, but in many regions it is written with a decimal comma (1.234,56). Ageline detects this and asks you to choose when it can’t tell.
What Ageline does with it
- Finds each customer’s block and open items, and doesn’t treat total lines as invoices. A line it can’t place is reported, not guessed.
- Makes one PDF statement per customer with an ageing table, every open item and your payment details, all in one ZIP.
- Adds an ageing summary CSV for every customer, even on the free plan.
- Optional: add Xero’s contacts export to print customer addresses and emails.
An invoice export works too. It needs invoice numbers, dates and amounts due, and if it has a Currency column, Ageline makes one statement per currency.
Things to check
- Xero’s report shows amounts in your base currency.
- Xero’s report columns are calendar months; Ageline counts days from the statement date, so bucket amounts can differ while totals match.
- Ageline doesn’t connect to Xero or send email. It works on the file, in your browser.
Next: statements with 30/60/90-day ageing and statements of overdue invoices only.
Xero is changing statements. On 27 October 2026 Xero moved the idea “Customer statements – Ability to auto email Statements” to In development and invited a limited group of users to test a new statement list and PDF views, with scheduling and “more control over which columns you display on your statement PDF” listed as coming soon. If your Xero organisation gets a statement layout that already does what you need, use it.
Try it on your own export. Free, no sign-up, nothing uploaded. The ageing summary covers every customer, and statement PDFs are made for the first 3 customers in each batch. The Practice plan ($29 per month or $290 per year) makes them for every customer: see pricing.
