Add 30/60/90-day ageing to Xero customer statements
Xero’s customer statements show what is owed, with current, overdue and total amounts. They don’t show an ageing breakdown such as Current / 1–30 / 31–60 / 61–90 / 90+ days. It is a long-running request on Xero’s product ideas forum, “Customer Statements – Ageing (30, 60, 90days)”, which Xero marked Not in pipeline on 8 March 2023. When Xero closed a related reporting idea it pointed to the Aged Receivables Detail report and said ageing on statements had no plans “in the foreseeable future”.
The manual way in Xero
- In Xero, open the Aged Receivables Detail report.
- Set the date, the ageing periods (for example three periods of 30 days) and whether to age by due date or invoice date, then filter it to one customer.
- Export it (PDF, Excel or Google Sheets) and send it with the customer’s statement, from your own email.
- Repeat for every customer.
It works, but it is one report per customer, and the report is not a customer-facing statement: commenters on the idea note that you can’t add your logo or edit what it shows.
What Ageline does
- Reads the export you already have: the Aged Receivables Detail report exported to Excel (.xlsx), or an invoice export with invoice numbers, dates and amounts. An optional contacts export adds emails and addresses.
- Makes one PDF statement per customer with an ageing table and every open item, with your business name, address, logo and how-to-pay details.
- Lets you choose the buckets: 30 / 60 / 90, 30 / 60 / 90 / 120, 15 / 30 / 45 / 60 or 7 / 14 / 28, aged by days past the due date or days since the invoice date, as at a statement date you set.
- Nets off credit notes and leaves out draft, voided and paid invoices.
- Gives you a ZIP with every PDF, an ageing summary CSV and a text file of suggested email wording.
- Runs in your browser. Your export is not uploaded and there is no Xero connection to approve.
What it doesn’t do
- It doesn’t email your customers. You attach the PDFs to your own emails.
- It doesn’t connect to Xero. It works only on files you export yourself.
- Ageline counts days from the statement date, while Xero’s report columns are calendar months, so bucket amounts can differ from Xero’s report even though the totals match.
- Xero’s report shows amounts in your base currency. For customers billed in another currency, use an invoice export with a Currency column: Ageline then makes one statement per currency.
- Statements use a standard PDF font, so characters outside Western European alphabets print as “?”.
Xero is changing statements. On 27 October 2026 Xero moved the idea “Customer statements – Ability to auto email Statements” to In development and invited a limited group of users to test a new statement list and PDF views, with scheduling and “more control over which columns you display on your statement PDF” listed as coming soon. If your Xero organisation gets a statement layout that already does what you need, use it.
Try it on your own export. Free, no sign-up, nothing uploaded. The ageing summary covers every customer, and statement PDFs are made for the first 3 customers in each batch. The Practice plan ($29 per month or $290 per year) makes them for every customer: see pricing.
