Send a statement that shows only overdue invoices

When you chase a late payer you often want a statement of what is overdue today, not every unpaid invoice. Xero’s outstanding statement shows what the customer owes as at a date, so newer invoices that aren’t due yet appear too. A user on the auto-email statements idea reported on 19 August 2026 that Xero Support confirmed there is no statement filter for invoices that are both unpaid today and due or overdue today: an earlier “as at” date drops the newer invoices but can bring back invoices that have since been paid. A separate idea, “Customer Statement – Send an overdue invoice statement”, is In discovery; on 6 January 2026 Xero said it is “high on our teams radar” but “not on the roadmap just yet”.

What Ageline does

Tick Only customers with overdue amounts. Ageline then:

Because the file comes from Xero’s current data, invoices that are already paid aren’t in it, so the statement lists what is unpaid and overdue as at your export. Export on the day you send, and set the statement date to that day.

You get one PDF per customer in a single ZIP, with a summary CSV, and you send them from your own email. The ageing buckets and the “age by due date or invoice date” choice work the same as on statements with 30/60/90-day ageing.

What it doesn’t do

Xero is changing statements. On 27 October 2026 Xero moved the idea “Customer statements – Ability to auto email Statements” to In development and invited a limited group of users to test a new statement list and PDF views, with scheduling and “more control over which columns you display on your statement PDF” listed as coming soon. If your Xero organisation gets a statement layout that already does what you need, use it.

Try it on your own export. Free, no sign-up, nothing uploaded. The ageing summary covers every customer, and statement PDFs are made for the first 3 customers in each batch. The Practice plan ($29 per month or $290 per year) makes them for every customer: see pricing.
